Plan the Repair Around the Complaint

A truck can arrive with a warning light, a drivability complaint, and overdue maintenance at the same time. Separate those requests so the initial diagnosis addresses the problem that brought you in. Record when the symptom occurs, whether a trailer is attached, and any recent work. A suspected part is useful background, but it should not replace the driver’s description.

For fleet work, include the unit number, next dispatch window, and the person who can approve testing. Review completed and deferred work together at pickup so a routine service does not accidentally close an unrelated defect.

  • VIN, engine model, mileage, and hours
  • Exact warning messages and operating conditions
  • Recent repair records and your priority for each task
